Location:  On-site (no remote), must be able to commute to Frederick, MD 
Position Overview:

This role is the anchor supporting senior-level engagements and combines protocol expertise, congressional liaison support, and day-to-day command information coordination. You’ll plan and run distinguished visitor activities,  industry and academic leader visits, and high visibility appearances for DoD leadership while keeping the command tightly informed and synchronized.

Core Responsibilities: 

  • Protocol leadership

    • Own the end-to-end execution of high visibility congressional and special visit; create concepts, invites/RSVPs, base access packets, seating charts, name tents, run-of-show, bios, briefing books, escort plans, gift protocols, photo lines, and thank-you follow-ups.

    • Coordinate closely with leadership, security, legislative affairs, and front office personnel for clearance, messaging, and movement control.

  • Congressional liaison

    • Track and coordinate congressional inquiries, courtesy calls, briefings, and site tours; prep talking points and leave-behinds aligned to command priorities.

    • Maintain an up-to-date contact map for congressional members, staffers, committees, and regional stakeholders; log interactions and next actions.

  • Command information

    • Maintain the engagements calendar and enterprise tracker; deconflict schedules, surface priorities, and publish weekly look-aheads.

    • Draft and coordinate talking points, welcome remarks, bios, fact sheets, and post-event summaries for leadership.

    • Capture after action reports within 2–3 business days with measurable follow-ups and lessons learned.

  • Operations & tasking

    • Run daily intake and traffic for engagement requests; manage taskers and suspense dates; ensure timely coordination across staff sections.

    • Coordinate exhibit and signage needs with the visual communications team; oversee vendor requests (room sets, AV, print collateral) and basic on-site set-ups.

  • Quality & reporting

    • Hit service levels for planning timelines and deliverables; keep stakeholder dashboards current (requests, status, risks).

    • Manage review standards and protocol best practices at every step.

Required Qualifications: 

Education:

  • Bachelor’s degree in Business Administration, Marketing, Management or a related field. 

Experience: 

  • 3-5 years minimum experience in DoD or government protocol, executive front office, legislative affairs, or senior-level event management (Army/Joint preferred).

  • Proven experience planning and executing distinguished visitor visits and high visibility engagements for congressional and military leaders.

  • Excellent writer and editor for talking points, run of show, bios, reports; confident at the table with senior leaders.

  • Master organizer with calm under pressure; able to run tight timelines and multiple concurrent engagements.

  • Proficiency with Microsoft 365/SharePoint/Teams and comfortable with scheduling, CRM or task management tools.

Desirable Attributes: 

  • Prior experience within Department of Defense, congressional support role or in a medical research and development environment.

  • Familiarity with Army/DoD task management, visitor access processes, and installation support coordination.

  • Understanding of public affairs rhythms (clearance processes, media/photo protocols) and working knowledge of Section 508 document prep for VIP materials.

  • Experience supporting large defense events
