Job Description and Duties

Per CCR 249.3, this job control may be used to fill subsequent vacancies.

Under the supervision of the Senior Environmental Scientist (Supervisory), the Office Technician (OT) provides a wide variety of clerical and front office support for the CAC, providing a variety administrative services to all CAC staff and the field laboratory staff in Anaheim. The incumbent must communicate effectively, have a good attendance record, and be comfortable in a team environment. Must have a strong knowledge of Microsoft Office (Word, Excel, Outlook, and Adobe Acrobat).

  • Gather and prepare a variety of letters, memorandums, data, and spreadsheets  for the program managers, supervisors and staff following Department correspondence guidelines.

  • Oversee ordering and tracking of office supply inventory for program. Order supplies through approved contractual vendors, P-Card and/or purchase order, ensuring products are available for program staff's utilization.

  • Coordinate purchases for the program and process the procurement requests using the Requisition/Purchase Request Form SO-21.  Follows through to verify orders have been received.

  • Resolve problems with vendors and program staff regarding orders in a timely manner.

  • Prepare and reconcile program invoices as requested by supervisor/lead, noting discrepancies as appropriate.  Request supervisor’s approval and submit to Accounts Payable for prompt payment.

  • Implement, establish, review, and maintain programs central document filing system by fiscal year.  Purges and archives files annually based upon retention schedule.

  • Assist with staff’s travel arrangements for business meetings.  Process requests for travel advances and review travel claims for completeness.

  • Maintain copier report to determine how many copies are made in the Branch office for contractual purposes.  Replace toner cartridge as necessary.

  • Proofread correspondence and reports for grammatical content and accuracy; prepare reports for preliminary and final drafts.
