Job Description


Our client, a Growth Equity Investment Firm is seeking a new Executive Assistant to support a team of executives at varying levels, in their NYC office. Candidates must have a minimum of 3+years of applicable high-level administrative experience supporting a team/group of executives within financial services (preferred), and a Bachelor’s degree ( preferred). They should be extremely polished, professional, team-oriented, flexible, hard-working, accustomed to working in a fast-paced environment, and possess excellent interpersonal and communications skills.   • Salary depends on experience 90-110K + Bonus
  • Hours are 9:30-6:00pm. (Hybrid work schedule 4/1).

Responsibilities:

  • Schedule and organize meetings, conferences, and off-sites, including all related logistics/materials, proactively addressing conflicts, exercising strong judgment based on priorities, and seeking guidance as needed.
  • Prepare materials for meetings; track and confirm attendance
  • Arrange travel plans and compose itineraries, including obtaining necessary travel documents and coordinating visas.
  • Screen a large volume of incoming calls and greet guests in a professional and courteous manner.
  • Maintain kitchen and order office supplies
  • Use US Mail, FedEx, and other services to send and track priority mail.
  • Perform other related general administrative and project-based tasks as assigned and required.
  • Be available to check and respond to occasional after-hours correspondence.


Required Qualifications:

  • Minimum 3+ years of applicable high-level executive administrative experience supporting a team/group of executives
  • Bachelor’s Degree preferred.
  • Ability to thrive in a fast-paced and rigorous work environment; demonstrated ability to prioritize competing demands and meet deadlines.
  • Excellent judgment and a very high level of confidentiality.
  • Must demonstrate a proactive, positive attitude towards given tasks, plan ahead for potential issues, and take appropriate action.
  • Strong attention to detail, responsiveness, and follow-through on open items.
  • Exemplary interpersonal skills necessary to handle sensitive and confidential situations. Role continually requires demonstrated poise, tact, and diplomacy.
  • Superb written and verbal communication skills. Strong attention to detail when composing and proofing materials required.
  • Team-oriented and collaborative attitude is a must.
  • Microsoft Outlook and Salesforce (willing to train)
