Our client is seeking an Administrative Coordinator to ensure that operations run smoothly and efficiently. You'll be responsible for providing a broad range of administrative support, coordinating schedules, managing documents, and assisting with project execution across teams. This is a great opportunity for someone who enjoys multitasking, streamlining processes, and contributing to a dynamic work environment.
Key Responsibilities:
+ Provide day-to-day administrative support for departments and executives, including managing calendars, scheduling meetings, and handling correspondence.
+ Organize and maintain filing systems (physical and digital) to ensure the security and accessibility of documents.
+ Prepare and edit presentations, meeting materials, and reports as required.
+ Coordinate and manage logistical arrangements for events, meetings, or workshops.
+ Assist in tracking deadlines and project timelines, ensuring execution according to schedules.
+ Serve as a primary point of contact for vendors, contractors, and internal teams, ensuring clear communication and smooth coordination.
+ Process expense reports, invoices, and purchase orders, maintaining accurate documentation for finance teams.
+ Maintain office supplies and troubleshoot minor IT or office equipment issues.
+ Support special projects or initiatives as assigned by leadership, ensuring tasks are completed accurately and on time.
Requirements
+ Prior experience in administrative support roles is preferred (generally 2+ years).
+ Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and exposure to document management tools or CRMs.
+ Strong organizational and multitasking skills with attention to detail.
+ Excellent written and verbal communication skills with a customer-focused approach.
+ Ability to adapt to varying priorities and solve problems proactively within a fast-paced environment.
+ Bachelor's degree in Business Administration or a related field is a plus but not required.
