Job Overview

We are seeking a dedicated and detail-oriented Administrative Associate to help improve the efficiency and effectiveness of marketing and investor relations efforts for one of our clients.

The successful candidate will assist the Director and be involved in many support functions including, but not limited to the following:

Primary Responsibilities (Core areas of focus)

  • Arranging travel plans and meetings globally
  • Help with planning and logistics for marketing related events
  • Conduct candidate research and manage/maintain our CRM database
  • Ensure and maintain the CRM database (Backstop) is accurate, complete, and up-to-date
  • Assist in the preparation of CRM data reporting (pipeline reports, and any other ad hoc data requests)
  • Act as the point of contact for CRM-related needs and questions

Secondary Responsibilities (Additional key support areas)

  • Assist with DDQs/RFPs/surveys and other materials requested by candidates
  • Assist with the updating and maintenance of marketing related documents (Product Sheet, general marketing presentations, newsletters, white papers, etc.)
  • Assist with the periodic reporting documents and update calls for clients
  • Assist with preparation and mailing of investor materials (ad-hoc, monthly, quarterly and annually) via Backstop and ShareFile
  • Assist the Director of Investor Relations with client and prospect communication, as needed

Qualifications:

  • English fluency (Business level)
  • Ability to handle multiple demands, competing priorities and work with a minimum of errors
  • Able to work flexibly at night from home occasionally when necessary
  • Highly detail oriented
  • Highly organized and Great team player
  • Exceptional polite oral and written communication skills
  • Must be a self-starter who is able to work well in a smaller firm
  • Intermediate or basic knowledge of Microsoft Office products and a quick learner of new

software products (Outlook, Excel, Word, PPT, and CRM Database)

  • Minimum of 3 years executive assistant and administrative experience
  • Knowledge of public and private equity markets markets preferred
  • Japan related experience or knowledge is a plus

Working hour :8:30am-5pm

Some flexibility with working hours

Overtime and weekend work may be required.

Primarily, this is an office-based role, but remote work is possible depending on the situation.

Job Type: Full-time

Pay: $70,000.00 - $75,000.00 per hour

Expected hours: No less than 40 per week
